Privacy Policy
/mydata to see what it has, and /forgetme to delete it.Forever Sherpa ("the bot", "we", "us") is a free Discord bot that posts a daily countdown and tips for World of Warcraft: Forever. It's an independent, non-commercial fan project. This policy explains what the bot collects when you add it to a server or use it, and what we do with that information.
What we collect
| Data | When | Why |
|---|---|---|
| Server settings: server ID, the channel IDs you choose, optional role IDs, post times, time zone, faction, detail level, the ID of the bot's pinned card, which optional parts are on (clips, status alerts, update notes), and the last update the server was told about | A server admin runs /setup, /frequency, /verbosity, /pinpost, /clips, /statusalerts or /updates | To post in the right place at the right time |
| Post history: which daily posts and news items the bot already sent in a server | Each time it posts | So it never posts the same thing twice |
| Your detail preference, stored with your Discord user ID | You choose a level in /mysettings or turn on Plain words | So private replies come at the level you picked, in every server |
| Your roll-call pick: the class you chose, stored with your Discord user ID and the server ID | You press a class button or use /pickaclass | To show the server's class counts, and who picked what in /rollcall (visible to that server's members) |
| Activity logs: which command or button you used and its options, your Discord user ID and display name, the server ID, and the time | Each time you use the bot | To find and fix bugs |
| Server alerts: the server's member count and, if the bot is removed, how long it stayed and whether it was set up. No server names, channels, settings or member names. | The bot is added to or removed from a server, or a server finishes setup | Sent privately to the Forever Sherpa team on Discord, so we can spot setup problems quickly |
What we don't collect
The bot doesn't have permission to read message content, so it can't see what you or anyone else types in your server. It doesn't read DMs, and it never receives your email address, IP address, password or payment details. Discord doesn't share those with bots. We don't use cookies or trackers on this website.
The bot also fetches public information that isn't about you: news headlines from gaming news sites' RSS feeds, and popular public clips from Twitch. Nothing about you is sent to those services.
How we use it
Only to run the bot's features and keep it working. We don't sell, rent or trade your data. We don't use it for advertising, we don't build profiles, and we don't use it to train AI models.
Who else handles it
We share data only with the services the bot needs in order to run:
- Discord, the platform the bot runs on. See Discord's Privacy Policy.
- Render (render.com), which hosts the bot, its database and its logs on servers in the United States.
We may disclose information if the law requires it.
How long we keep it
- Server settings, post history and roll-call picks: until the bot is removed from that server. Removing the bot deletes everything stored for that server automatically.
- Your detail preference and roll-call picks: until you run
/forgetme(or reset with/mysettings). - The record of which news items were shown: deleted automatically after 60 days.
- Activity logs: deleted automatically by our host, within 30 days.
Your choices
/mydatashows everything the bot's database holds about you./forgetmedeletes your detail preference and your roll-call picks in every server, right away.- Server admins can remove the bot at any time, which deletes that server's data.
- For anything else, including a request to remove log data sooner, contact us (below). We'll respond within 30 days.
Children
Discord requires users to be at least 13 (or older where local law requires). The bot is meant for Discord's users and doesn't knowingly collect more information from anyone under 13 than this policy describes. If you believe a child under 13 has used the bot, contact us and we'll delete their data.
Security
Data is stored on a private disk at our host. Only the Forever Sherpa team can access it, and secret keys are never written to logs. No system is perfectly secure, but we keep what we store small, which keeps the risk small too.
Changes
If this policy changes, we'll update the date at the top of this page. Older versions are kept in this site's public history on GitHub.
